Xero Bookkeeping Services: What to Look For in NZ

Amy Dove

Signing up to Xero is easy. Keeping it clean, up to date and actually useful is a different story.

Most business owners start by doing it themselves. Then the business gets busier, the unreconciled transactions start piling up, and that little red number in the corner of Xero becomes something you'd rather not look at.

That's usually the moment you start searching for Xero bookkeeping services. And it's where things get confusing, because almost every bookkeeper in New Zealand will tell you they "do Xero". Some are brilliant. Some log in once a quarter, push the GST return through and call it done.

So we've written this blog to help you tell the difference. Here's what outsourcing good Xero bookkeeping looks like, what to look for, and the red flags worth walking away from.

‍

Good to know: What do Xero bookkeeping services actually cover?

At its simplest, a Xero bookkeeper keeps your Xero file accurate and up to date so the numbers, thus your business decisions, can be trusted. That usually includes:

- Reconciling your bank accounts and cards
- Coding transactions to the right accounts
- Managing bills, receipts and supplier payments
- Sending invoices and keeping track of who owes you money
- Preparing and filing GST returns
- Running payroll and payday filing
- Monthly reports that show how the business is tracking

The difference between average and great isn't the list. It's how well it's done, how often, and whether anyone tells you what the numbers mean.

‍

What to look for in a Xero bookkeeper

1. Xero certification, and a firm that lives in Xero

Start with the basics. Your bookkeeper should be Xero certified, which means they've done Xero's own training and keep it current.

It's also worth asking about the firm's Xero partner status. Xero ranks partner firms from Bronze up to Platinum based on how many active Xero subscriptions they look after. A higher tier doesn't guarantee great service, but it does tell you the team works in Xero every single day. We've explained what the tiers mean in more detail in why being a Xero Platinum partner matters.

Treat this as a baseline to work up from. Certification shows they know the software. The rest of this list shows whether they'll use it well for you.

2. They set Xero up for your business, not the default anyone can do.

Xero comes with a standard chart of accounts (the list of categories every transaction gets coded to). It's a starting point, not a finished setup.

A good Xero bookkeeper will tailor it to how your business actually makes money. That means separating your direct costs from your overheads so your gross margin is real, and setting up tracking categories if you want to see which jobs, locations or services are profitable. Get this right at the start and every report after it becomes more useful, and makes your life easier in the long run!

3. Regular reconciliation, not a quarterly catch-up

If your bookkeeper only touches Xero when GST is due, your numbers are out of date for most of the year. That's not much help when you're trying to make a decision in the middle of it.

Look for weekly or at least fortnightly reconciliation, backed by well-built bank rules so routine transactions code themselves. Your Xero should look roughly right on any given day, not just on GST day.

4. A simple way to get receipts in

Shoeboxes, glovebox receipts and photos in your camera roll don't make for good bookkeeping. Most good Xero bookkeepers use an app like Dext or Hubdoc so you can snap a photo or forward an email and the receipt lands in Xero, matched to the right transaction. Here at Bring On Monday we keep it simple and integrate with your email, so you can quickly send through a photo each time you get a receipt, at the click of a button. Say goodbye to keeping paper receipts!

If a bookkeeper doesn't have a clear answer to "how do I get receipts to you?", that's worth noting.

5. Reports that land on time, in plain English

You should know when your monthly reports will arrive and what's in them. A profit and loss, a balance sheet, who owes you money and who you owe, at a minimum.

Even better is a bookkeeper who tells you what stands out. "Your materials costs jumped this month" is far more useful than a PDF you never open.

6. GST and payroll done properly

These are the two areas where mistakes cost real money.

GST returns need to be filed accurately and on time. Payroll comes with its own rules too. In NZ, employers need to send payday filing information to Inland Revenue within two working days of each payday. A good Xero bookkeeper has these deadlines locked in so you never have to think about them.

7. They're connected to your accountant

Your bookkeeper and your accountant should be working off the same numbers and talking to each other. When they're not, things fall through the gap and you end up paying for year-end clean-up work that shouldn't have been needed.

The simplest fix is having bookkeeping, accounting and advice under one roof (like we do!). If that's not an option, at least make sure they know each other's name.

8. A fixed monthly fee with a clear scope

Hourly billing makes it hard to plan and can make you hesitate before picking up the phone. We recommend looking for a fixed monthly fee with an agreed scope, so you know exactly what you're getting and what it costs. (Again this is how we work with our businesses).

‍

Red flags worth walking away from

A few signs your Xero bookkeeping isn't being done well:

Hundreds of unreconciled transactions sitting in Xero for months

A big balance in the suspense account (the "we'll figure it out later" bucket)

GST returns that feel like a surprise every time

You can't get a straight answer about what something means

Your accountant keeps fixing things before they can do your year-end

If any of those sound familiar, it's not a reason to panic. It's a sign it's time for a tidy-up and a better routine.

‍

Do you need local bookkeeping services near you?

Because Xero is cloud-based, your bookkeeper doesn't need to be down the road. You can work with a great Xero bookkeeper from anywhere in the country.

What does matter is that they're based in New Zealand and know New Zealand rules. GST, provisional tax, payday filing, KiwiSaver and ACC all work differently in each country. You also want someone who replies quickly, speaks plainly and is happy to jump on a video call when something needs explaining. That matters far more than which suburb their office is in.
